1. What exactly is included in the per-person price?
Ask for a full breakdown: transport, accommodation, meals, activity facilitation, and documentation. Vague line items like "activities" without specifics usually mean extra costs later.
2. Who handles logistics on the day?
A dedicated event crew and MC should be part of the package for groups over 30 people — not an afterthought you have to request.
3. Can the itinerary flex around our group size?
A program built for 20 people rarely scales cleanly to 150 without adjustment. Ask how the operator handles larger groups: multiple boats, staggered check-ins, parallel activity tracks.
4. What happens if the weather changes?
Especially for island programs, ask about the contingency plan for rough seas or rain — postponed departure, indoor backup activities, or rescheduled slots.
5. Is documentation part of the package?
Photo and video documentation should be built into your quote, not billed separately after the fact — you'll want usable content for internal recaps and social media.
